Product tour

Two minutes, one search field.

A short walkthrough: indexing a mailbox, searching across four accounts at once, and opening a hit straight in Outlook.

The problem

Finding your own mail should not be the slowest part of your day.

Most people do not lose their mail. They lose the time it takes to dig it out of five places that each answer a slightly different question.

One mailbox at a time

Outlook searches the mailbox you are standing in. Four accounts means running the same search four times and merging the answers in your head.

Every place answers differently

Desktop, web, phone, shared mailbox, archive — the same words give another list, and none of them is obviously the complete one.

Slow, and still not complete

The desktop version keeps you waiting while it thinks, and even then you cannot be sure every matching mail made the list.

Attachments stay invisible

You remember the price in the quotation, not the subject line of the mail it arrived in. Mail search looks at the mail, not inside the document.

Files are a separate hunt

First the mail, then Explorer, then the network drive — three tools, three result lists, one question.

How it works

Index once, locally. Then just type.

SearchFlow does the slow work before you ask the question, on the machine itself. That is what makes the answer instant — and what keeps your data where it already is.

Step 1

Point it at your sources

Your mailboxes — personal, shared, archive — and the folders you want covered. SearchFlow reads them and builds its index on that machine.

Step 2

Type what you remember

A name, a price, half a file name, a word from an attachment. Results narrow with every keystroke, ranked across mail and files together.

Step 3

Open it where it lives

Preview the hit, then open the mail in Outlook or the document in its own folder. Nothing is copied to a second location.

What you get

Eight things Outlook search does not do.

All mailboxes at once

Personal, shared, archive and any extra account — one search, one ranked result list.

Results while you type

The index is built up front. Searching costs a keystroke, not a coffee break.

It reads the documents

Finds words inside PDF, Word and Excel files and inside the body of the mail — not just file names.

Attachments count as results

Remember the price, not the subject line? The attachment itself comes back as a hit.

Mail and files, side by side

One list for the mail thread and the document on the drive. No second hunt in Explorer.

Stays on your own machine

The index is built and kept locally — fast answers, and nothing is uploaded to a cloud service.

Narrow it down in one click

Filter on sender, date, mailbox or file type until the right one is left.

Opens where it belongs

Preview the hit, then open it straight in Outlook or in its folder.

Local by design

Your index never leaves the building.

Both editions build and store the index on the machine itself. There is no central index server to buy, secure and back up, and no copy of your mail sitting with a cloud provider.

Fast because it is close. The index sits on the same disk as the work, so searching does not wait on a network or a service.
Nothing is uploaded. Mail bodies, attachments and file contents stay on the device they were already on.
Rights are respected. A workstation only indexes what that user is already allowed to open — SearchFlow does not widen anyone's access.
It keeps working offline. The index is on the machine, so a dropped connection does not take your search with it.

AI search — included

Beyond keywords, SearchFlow can answer in language: "what did we agree with Smith about the delivery date?" That step is included in the price.

Keyword search is unlimited. AI questions are included.

Editions

One product, two ways to run it.

The same search, the same local index. The difference is who manages the licences and the settings — and the colour tells you which one you are in.

Questions

What people ask before they buy.

Does anything of ours leave the company?

No. The index is built and stored on the machine itself, and searching happens there. The only feature that sends anything out is AI search, and only when you ask it a question.

Can someone find mail they are not allowed to see?

No. A workstation indexes what that user can already open. SearchFlow does not hold its own copy of anyone else's mailbox and does not widen access.

How long does the first index take?

The first pass depends on how much mail and how many documents you point it at; it runs in the background while you work. After that only what changed is added, which is a matter of seconds.

What does it search inside?

Mail bodies and their attachments, plus the documents in the folders you select — including PDF, Word and Excel. Results from mail and files are ranked in one list.

How is it billed?

Per user, annually: €96 per year for Professional, €120 per user per year for Team. Team is invoiced to the company, with licences and settings managed centrally by IT.

Do we have to move to another mail program?

No. SearchFlow sits next to what you already use — you keep working in Outlook and in your own folders, and open every hit there.

Want to see it on your own mailboxes?

Tell us how many mailboxes and workstations you have, and we will show you what a search across all of them looks like.
